We are currently recruiting for an Executive Assistant within a creative and forward thinking organisation based in Manchester. The role will provide Executive level support to the Chief Executive, Artistic Director and Creative Director and previous experience in a busy and fast paced PA role is essential in the role. Ideal applicants must have prior experience of organising complex travel arrangements both in the UK and internationally and must be proficient at managing busy diaries with often changeable schedules. The role will offer variety and would be well suited to someone with an interest in music and the arts. The main duties will include:-
- Acting as a "gatekeeper" to the CEO/AD & CD, keeping them well informed of upcoming commitments and responsibilities
- Extensive diary management across multiple timezones
- Review and prioritise all emails and letters, delegating where appropriate
- Drafting responses on behalf of the CEO/AD, and flagging high priority items for their attention.
- To arrange travel and accommodation compiling detailed travel schedules, accompanying tickets and documents in advance.
- To contribute to the researching of speeches, presentations, articles, briefings, blogs and project proposals
- To work in tandem with the Executive Support team, contributing to the smooth running of the Executive Office.
- Administrative support tasks as directed by Executive Support Manager, providing wider support to the Executive team and Board members as and when required.
Essential skills and experience required:-
- Proven experience in organisational, diary and time management in a PA, EA or equivalent role, working with senior executives in a fast-paced environment.
- Ability to work confidently across a range of IT systems and to develop new skills in a changing IT environment.
- Strong communication skills, both written and verbal with a variety of different people, and in a range of situations. Ability to judge the right tone.
- Problem-solving and decision-making skills
- Experience in working with people from a wide range of backgrounds; demonstrated commitment to diversity in the work place.
