We are currently recruiting an Executive Support Manager role to cover a period of maternity for a for a highly innovative and forward-thinking organisation based in Manchester. Working within a highly diverse and creative environment, the primary focus of the role will be to provide Board level administration support and will also take responsibility for supporting 5 Business Support staff. Providing comprehensive operational support service to theExecutive Team, the role requires someone with previous experience as a Personal Assistant Manager or Executive Support Lead who also has experience of providing high level support to a Chair and Board members. The main duties of the role will include:-
- Managing the administration and overseeing the co-ordination of the board and the associated sub-committees, including the following areas of responsibility:
- Planning board meetings, including time, date, agenda, location and invitations
- Tracking and following up on board meeting RSVPs
- Ensuring the timely distribution of all relevant documentation in advance of meetings
- Coordinating actions arising from the board and committee meetings
- Researching relevant questions and projects arising from board and committee meetings
- Preparing meeting minutes for approval and distribution
- Maintenance and management of the directors’ register
- Act as the primary point of contact for trustees’ as regards requests relating to board administration
- Maintaining and effectively managing the records of the organisation in line with good governance and Charity regulations
- Managing the recruitment and onboarding of new trustees
- Maintain an awareness of charity governance
- Maintain an awareness of the key challenges and priorities of all the executive team at any one time,
- Directly support the executive team through attendance of key internal executive meetings, for example those directly relating to the preparation of the board meeting
- Prepare and help set key Executive meeting agendas and undertake research for key internal executive meetings, taking notes and minutes of actions
- Prepare and help set Directors meeting agendas, taking notes and minutes of actions
- Coach and mentor the Executive Support Team
- Manage the Executive Support Team in terms of workload, task management and developing effective working processes
- Use knowledge and research to find better practices and ways of working to enhance the support for the wider executive team
The maternity cover will be to cover the period from November 2022 to February 2024 and the closing date for CV’s will be the 30th September. You must be available to start work from the start of November 2022 and be available to interview in October. The role is offering a salary of up to £35000 dependant on experience and the organisation offers various pastoral support options including flexible working and remote working options for all.
